Introduction
The Staff Section Assignment file contains basic information about Educators and the courses they are teaching in your school/district that are assigned to course/sections. This article is intended to guide you through the data elements captured in the Staff Section Assignment file, in order to locate the information in PowerSchool.
Data Elements
The following are the data elements contained in the 14b_StaffSectionAssignment file (defined later in this article).

- POSID
- LOCALCOURSEID
- COURSESECTION
- EDUCATORID
- ROLE
- SY

Note: In the instructions below, the State Data Elements are listed in Parentheses with the PowerSchool field name preceding the State Field name. i.e. School Year (SY)
Note: Most of the information contained in this file occurs during the Beginning of Year (BOY) setup and should not be edited except in extreme circumstances.
Staff Search
You first need to review a few data elements associated to the course instructor (teacher).
From the Start Page > use the dropdown to select Staff > enter the last name or ID to search for the Staff Member.

Educator ID
There are two places to enter the Educator ID.
Look up the Educator by Local ID or last name.
Once the staff member has been selected > Information > (Functions) > State Prid field.


Click Submit
The second place to enter the Education ID is in the VT State Information screen. Once the staff member has been selected > VT State Information > (Functions) State Assigned Staff ID.


- State Assigned Staff ID (EDUCATORID)
- The VT AOE assigned unique staff person identifier. This number is distinct for each staff person over time.
Vermont Staff Place of Service(s)
Confirm the course instructor (teacher) are associated to the correct school(s) where the course/section is being taught.
Click on the Vermont Staff Place of Service hyperlink to view the Staff Place of Service.

*The Place of Service cannot be edited under the Vermont Staff Place of Service screen.
To Edit Vermont Staff Place of Service(s)
To edit the Place of Service use the Security Settings to create/remove access.
Select > Security Settings (Functions)


- School Affiliations (POSID)
- The VT AOE assigned unique identifier for the organization representing the “Place of Service” where the staff person is performing a role.
Click Submit
Course Information
To look up a course and basic information for the course > from the Start Page > select School (Setup).

Then select Courses under Scheduling.

Use the dropdown to choose how to search for the course. For example: Number, Name, etc. to search for the course.

Course Number
Click on the course name or number to open the course.

- Course Number (LOCALCOURSEID)
- A unique identifier assigned by the school to each of their offered courses in a school year.
Course Enrollment Status
From the AOE

Section ID
Scroll to the bottom of the page to view the Section ID.
From PowerSchool

- Section ID (COURSESECTION)
- A unique identifier assigned by the school to each of their offered course sections in a given school year.
Select the applicable staff member (teacher) > click Current Schedule > edit under Teacher – Section Lead or Teacher/Staff – Additional.
Role (Teacher)

- Role (ROLE)
- A codeset value indicating the role that a staff person is performing as it relates to the course section assignment.
The remaining data elements are created during the beginning of year set-up and auto populated in the 14b Staff Section Assignment file.
- Supervisory Union ID (ADMINID)
- The AOE assigned ID to the Supervisory Union or District.
- School Year (SY)
- The school year for which data is being submitted.
